Facilities Maintenance Coordinator Monthly Report: September 2008
1. Upland Design Group conducted a mandatory pre-bid meeting for the high school auditorium renovation on 16 September at Loudon High School. Plans are being reviewed by the SFMO Nashville. Bids are due 25 September.
2. Gallaher & Associates continues to work on plans and pricing for re-working the existing fire alarm systems to meet the requirements of SFMO Knoxville. Synchronization of flashing devices necessitates the removal and replacement of all non-synchronizing devices. Additional audio devices will be added where required.
3. Pre-Construction meeting was held at Greenback for the SFMO Knoxville requirements on September 10th. Work will commence on Saturday of Fall Break and proceed until Sunday. Work not completed will be done after school hours.
4. Community Tectonics has submitted the re-roof plans to SFMO Nashville for review. The pre-bid meeting will be held on September 30th with the bids due on 154 October.
5. Bleacher renovations will commence in October, with Charron Sports Services working off the Knox County Bleacher Repair Contract currently in effect. The bids for the new bleachers at Greenback are being prepared by County Purchasing.
6. Requests for engineering services’ costs have been requested for the bus loop off the Fire Marshal’s road at Loudon Elementary.
7. Certificates of Occupancy have been received for the Phase I HVAC schools.
8. The grant provided rope courses for all the elementary schools have been staked out. Tennessee One Call has been notified to check for underground utilities at all sites except Loudon Elementary which has not been graded. September 30th will mark the end of the utility notification period.
9. Potential contractors for the second phase of the HVAC projects have been making site visits. Bids for the project will open on 25 September.
10. Old carpet was removed from the portable at Steekee, and new VCT was installed.
11. Annual School Safety reports (ASSRs) from the Fire Marshal were reviewed and areas of responsibility were assigned to County Maintenance, School Personnel and outside contractors.
12. The boiler, one of two, at Eaton Elementary kitchen commenced to leak. Replacement boiler has been ordered, and Tennessee Boiler Service is scheduled to replace the defective boiler by 24 September.
13. Loudon County Schools continues to develop EPA’s Healthy Seat School Assessment Program. Loudon County will be the first county in Tennessee to embrace the program for school building health and safety assessments.
14. Set up October Workshop for Tennessee Department of Environment and Conservation for the Healthy Seat and Tools For Schools programs at the Professional Development Center for 30 October. This workshop is for Healthy School Coordinators and Facility Directors in the East Tennessee region.
15. School grease traps have now been placed on a schedule of pumping. Frequency of pumping is dependent upon the size of the grease trap.
16. County Maintenance, along with the County Road Department filled the washed out area next to the sidewalk at the portables at Eaton Elementary.
17. The Maintenance Coordinator wrote the Plans Of Corrective Action (POCAs) for SFMO Knoxville on the schools whose fire alarms were deemed deficient. Work will commence on the deficient facilities over Fall Break, and continue until all are complete.
18. Maintenance Coordinator and County Purchasing Director have been in the process of resolving the costs of installing “purchased portables”.
19. Environmental Relative Moldiness Index (ERMI) tests are scheduled for a classroom at Eaton Elementary and a re-test for a classroom at Loudon Elementary.
20. Plans have been made with Lock Medic to rework the door hardware at the front door at Loudon Elementary to remove the slide bolts per SFMO Knoxville.
21. Greenback needed the septic tank pumped again. Pumped last in May. Tank was never removed when sewer treatment station was installed. Main school sewerage still enters the tank on its way to the forced main.
22. Worked on plan for “in-house” custodial and maintenance.
23. Attended lengthy Workshop and BOE Meeting.
24. Responded to calls for assistance and conducted follow up visits to facilities to ensure that the work orders are being accomplished, and that the schools are being taken care of properly and punctually.
